Rental Policies and Agreement

  • 1) CHECK-IN TIME IS AFTER 4 PM CST, AND CHECK-OUT IS BEFORE 11 AM CST. We appreciate your cooperation with these specific times, especially during the peak season months of June, July and August when we expect to accommodate back-to-back renters. These times may need to be modified if you have a particularly large group or other specific cleaning issues. These times will be pre-arranged before booking. We are generally flexible on the check-in or check-out times when there is not another guest arriving that same day. Just ask in advance!
  • 2) This agreement does not create a tenancy or residence. You must depart at the appropriate time.
  • 3) NO SMOKING - This is a NON-SMOKING unit.
  • 4) PETS - Pets are not permitted without prior approval and additional deposit and fees. (See pet policy.)
  • 5) AGE REQUIREMENT - The townhome is for families only. We require that renters be 25 years of age unless accompanied by a parent or guardian.
  • 6) RESERVATION / DAMAGE DEPOSIT:
  • a) A refundable reservation/damage deposit of $500 - $1,000 is required. (The amount of the deposit is dependent on the length of stay and number of guests. The exact amount will be determined before your stay.)
  • b) The reservation/damage deposit is for your protection as well as ours. It will guarantee your reservation for your requested dates. The deposit must be received within 7 days of booking the reservation. (Please see attached Cancellation Policy.)
  • c) The deposit automatically converts to a security/damage deposit upon arrival.
  • d) The deposit is fully refundable within 14 days of departure, provided the following provisions are met.
  • i) No damage is done to the unit or its contents, beyond normal wear and tear.
  • ii) No pets have been in the unit unless previously approved by owners. If pets were approved, no damages occurred to the unit due to pets. (Please see "Pet Policy")
  • iii) No evidence of smoking in the unit.
  • iv) All TV and fan remote controls must be returned to their proper color-coded holders to ensure they are not lost. Otherwise, a $25 per lost remote fee will be deducted from the deposit.
  • v) All trash and garbage is bagged and placed in the green trash can on the driveway. All foods brought in by guest are removed prior to departure, and soiled dishes are placed in the dishwasher and dishwasher started.
  • vi) If used, the outdoor grill must be cleaned and ready to be used by the next guest.
  • vii) No linens are lost or damaged. The towels are not to go on a boat on the lake or down to the lake, including the dock. We will provide 18 bath towels, 18 washcloths and 18 hand towels.
  • viii) One set of sheets per bed plus 3 sets of additional twin sheets will be available. If we need to wash more than what we provide an additional $50 laundry fee will be assessed.
  • ix) The home can be properly cleaned with a general light cleaning. If excessive cleaning beyond what our normal cleaning crew provides is required, the cost of this service will be deducted from the deposit.
  • x) Please return all items (chairs, tables, dishes, etc.) to their original location and condition. This will help ensure a pleasant atmosphere for all future guests.
  • xi) All keys, including the park/pool electronic key card, are left hanging on the hook near the front door, and the unit is left locked. There is a $25 replacement fee for lost electronic key cards.
  • xii) No early check-in or late check-out without prior approval.
  • xiii) The renter is not evicted by the owner (or representative of the owner), the local law enforcement, or the security company employed by Point Venture.
  • xiv) Number of guest has not exceeded 12.
  • xv) The conditions of the other amenities have been followed. (Please see item # 13, "Other Amenities".)
  • 7) PAYMENTS: An advance payment equal to 50% of the rental rate is required 60 days before arrival. The advance payment will be applied toward the rent. Please make payments in the form of traveler's checks, bank money order, cashiers' checks or personal checks payable to Mary Cotterell and mail to: 412 Cedar Mound Pass, Cedar Park, TX 78613.  The advance payment is not a damage deposit. The balance of rent is due 14 days before your arrival date.
  • 8) CANCELLATIONS: We cannot overbook as we have only one unit.
  • a) A 60-day notice is required for cancellation.
  • b) Cancellations that are made more than 60 days prior to the arrival date will not incur any penalties.
  • c) Cancellations or changes that result in a shortened stay, that are made within 60 days of the arrival date, will incur a 20% fee of the total rental rate.
  • d) Canceling within 30 days of arrival date will result in forfeiture of the reservation/damage deposit.
  • e) If the National Weather Service orders a mandatory evacuation of the area, we will refund:
  • i) Any unused portions of rent from a guest currently registered.
  • ii) Any unused portion of rent from guests who are scheduled to arrive and want to shorten their stay to come in after the weather warning is lifted.
  • iii) Any advance rents collected or deposited for a reservation that is scheduled to arrive during the evacuation period.
  • f) Early departure does not warrant any refund of rent or deposit.
  • 9) MAXIMUM OCCUPANCY - The maximum number of guests is limited to 12 persons.
  • 10) BOATS - Because there are many boat docks in our cove and space is a premium, only one boat and one WaveRunner is allowed to be docked at our dock.
  • 11) MINIMUM STAY - We require a 2-night minimum stay. Longer minimum stays may be required during holiday periods. If a rental is taken for less than two days, the guest will be charged for 2 nights.

 

  • 12) NO DAILY MAID SERVICE - While linens and bath towels are included, daily maid service is not included in the rental rate; however, this service is available at an additional rate determined by the level of service you would require. Please bring your own lake towels as we do not permit towels or linens to be taken from the unit.

•13)  OTHER AMENITIES -

  • a) Pool/Weight Room/Park: There is a pass key (magnetic card hanging on a key rack near the front door). This card is your access to the pool, weight room, library and park. There is a $25 replacement fee for lost keys. Please return the pool key to its original place before departure to avoid the $25 lost key fee.
  • b) Games: Feel free to use any of the games during your stay. All we ask is that you return all of the playing pieces to the appropriate game boxes so that we can continue providing this service to our guests. If we need to reorganize pieces into their appropriate game boxes or replace a game, a $50 "restocking fee" will be charged.
  • c) Ping-Pong Equipment: We love ping-pong and understand it can get exciting and intense. Please be considerate of the next guests and take care of the table, paddles, balls and net as if they were your own. Please do not sit or lie down on the table. If the table, paddles or net are damaged, a repair or replacement fee will be charged.
  • d) Movies and Nintendo games. Please return all movies and games to the original cases, and return them to the Entertainment center downstairs. A $25 fee will be assessed for each missing or damaged movie, and a $100 fee will be assessed for each missing or damaged Nintendo game.
  • e) Movies on Demand or Pay for View. New release movies and special events are available to purchase. The fee will be deducted from your deposit. The fee will be the amount charged to us by Time Warner for each movie or event purchased during your stay plus a $10 service fee per movie or event.

14) RELEASE AND INDEMNITY- Release and agree to indemnify and hold harmless W. Jamie Cotterell, Mary S. Cotterell, Alan D. Dodd and Ricki Anne Dodd and their respective children from and against any and all claims for personal injury, property damage, or any loss, claim, demand, and or liability of any nature whatsoever sustained by me or any member of any party of which I am a member arising from or connected with my entering upon the Leased Premises including, without limitation, condition of the Leased Premises, condition of any improvements thereon, condition of any vehicles or boats or other equipment, conduct or condition of any domestic or wild animals, weather, terrain, and other natural forces or conditions, the individual or group conduct of any person or persons, and or any other cause.
